Job Description:
SUMMARY:
The Administrative Assistant provides administrative support to the Project Manager/Asst Project Manager
ESSENTIAL DUTIES AND RESPONSIBILITIES:
- Provides orientation and in-processes new employees
- Provides information and assistance to employees regarding company policies, procedures, and employee benefits
- Acts as on-site point of contact for corporate HR office
- Develops and maintains system of employee files and records
- Prepares memos, spreadsheets, and reports as needed to support Project Management
- Prepare and type documents and briefing slides as necessary
- Coordinates meeting schedules
- Attends meetings as directed, takes minutes/notes of meeting discussions, prepares and distributes the notes as directed
- Prepares and distribute the Weekly Activity Report
• Reconcile corporate credit card statement monthly
• Adherence to all TLC Policies accessed through Deltek Costpoint via the following path.
o People > Employee Self Service > Company > Company Links > TLC Policies.
o Please see the Notes field for Login information.
• This position supports the DOD on a federal installation and the candidate must be available to work at the assigned physical location during business hours.
o Hours of work 7:30AM -4:30PM (M-F)
Requirements:

SUPERVISORY RESPONSIBILITIES:
• No supervisory responsibilities required
EDUCATION and/or EXPERIENCE:
Essential :
• Associates degree preferred but not required
• Must be able to type 40 wpm
• Proficiency using Microsoft Office and Outlook
• Must have 2 years previous clerical experience
• Excellent personal communication skills
• High school graduate or equivalent (GED)
• Must have valid state driver's license and be able to maintain post driving privileges
• Must be able obtain/maintain Common Access Card
• Ability to prioritize work, complete multiple tasks, and work under deadlines
• Must be able to devise steps necessary to complete tasks
• Reliable transportation to/from work
Preferred :
• Associates degree
• Prior work with military/government
LANGUAGE SKILLS:
Ability to read, comprehend and explain instructions, letters, memos, emails, and correspondence from inside the organization as well as from external sources. Ability to effectively respond, communicate and present information to customers, internal and external, clients and other employees in the organization. Ability to interpret instructions and information and explain to others in the performance of this job in English.
PHYSICAL DEMANDS:
Must be able to stand for long periods of time, stoop down and lift and carry more than 50 pounds on a regular basis. Must possess visual acuity to review written documentation; ability to hear and understand speech at normal room levels and on the telephone ; and the manual dexterity to operate computer.
WORK ENVIRONMENT/HOURS:
This position is not eligible for remote work, as the essential functions of the role require the employee to perform duties on-site.
Work performed indoors. No travel requirements. Will work 40 hours work week with a possibility to work weekends and/or holidays if mission/operations require. This position supports the DOD on a federal installation and the candidate must be available to work at the assigned physical location during business hours.
EXPECTATIONS:
• Transportation & Access: You must have reliable transportation to and from work and be able to access military installations.
• Background & Drug Screening: Employment requires passing a background check and pre-employment drug screening. Random drug and alcohol testing may also occur without prior notice.
• Timesheets: Record your actual work hours daily and ensure your entries are accurate and timely to support smooth operations.
• Dress & Punctuality: Arrive on time and dress appropriately for your shift.
BACKGROUND INVESTIGATIONS:
All employees are required to undergo an initial background investigation as a condition of employment. Additionally, employees may be subject to subsequent background investigations if circumstances warrant, such as the emergence of a need, an issue, or probable cause.
Employees assigned to work on federal installations or projects must also comply with government-mandated background investigations, which are conducted independently of the company's investigations. Employment and continued assignment to federal installations are contingent upon successfully meeting and maintaining these requirements.
