Position Description:
The Department Coordinator provides comprehensive administrative and operational support for the Chemical Engineering Department at the University of Louisville. This position ensures smooth daily operations and high-quality experience for students, faculty, staff, and visitors. The coordinator manages departmental operations and resources, including purchasing and financial reconciliation across multiple accounts. The role supports key academic processes such as coordinating research project finances, monitoring departmental account activity, tracking graduation milestones, and assisting accreditation activities. This position works closely with the chair, faculty, students, and campus partners to maintain accurate academic records and support student progression. Additional responsibilities include supervising student work-study employees, coordinating departmental events and visits, and serving as a primary point of contact for inquiries. The position contributes to a professional, well organized, and service oriented departmental environment.
Essential Duties and Responsibilities
- Provides administrative and operational support for the department, ensuring efficient day-to-day operations and consistent service delivery
- Serves as lead staff for departmental administrative functions and provides direction to support staff, including supervision of student work-study employees
- Manages purchasing, invoice processing, and financial reconciliation activities in accordance with university policies and procedures
- Supports academic and programmatic operations, including coordination of major departmental milestones, graduation milestones, and institutional reporting
- Maintains departmental records, data, and documentation to support accreditation, compliance, and planning activities
- Coordinates logistics for departmental events, meetings, visitors, and speakers in collaboration with faculty and campus partners
- Acts as a primary point of contact for students, faculty, staff, and external stakeholders, providing timely and professional customer service
- Performs other duties as assigned in support of departmental goals and university operations
Preferred Qualifications
- Experience providing administrative or operational support within a complex organizational environment
- Demonstrated experience with purchasing, budget tracking, or financial reconciliation
- Experience supervising or coordinating temporary employees
- Familiarity with academic program operations, accreditation processes, or compliance reporting
- Strong organizational skills with the ability to manage multiple priorities and deadlines
- Workday enterprise software experience strongly preferred

- Ability to work independently with limited supervision while exercising sound judgment within established guidelines
- Strong problem-solving skills, including the ability to resolve routine issues and escalate or address more complex matters appropriately
- Effective written and verbal communication skills, with the ability to convey information clearly and accurately to diverse audiences
- Demonstrated ability to collaborate with faculty, staff, students, and campus partners
- Solid understanding of institutional policies, procedures, and administrative systems
- Strong attention to detail, organizational skills, and commitment to high quality service
Target Compensation Maximum:
$28.55
Target Compensation Minimum:
$19.03
Compensation will be commensurate to candidate experience.
