Position Summary
UGA's College of Engineering seeks a full-time Capstone Design Coordinatorthat will manage the day-to-day operations of the college's growing Capstone program and Design Showcase. Working under the supervision of the Director of Experiential Programs and Student Success Assessment, the Capstone Design Coordinator will maintain core program functions, coordinate with students, faculty, and project sponsors, support students throughout their capstone experience, assist with partner engagement, and help plan and execute the program's signature event- the Capstone Design Showcase.
The Capstone Design Program has become a signature component of the undergraduate experience at the University of Georgia. Capstone Design is a required course for all students across each of the college's eight undergraduate engineering degree programs, in addition to a growing number of Computer Science students and represents the culmination of the undergraduate curriculum. The College of Engineering's Capstone program involves over 600 students, and approximately 200 project proposals annually.
This staff position will join the College's Office of Student Success within the College of Engineering and will work with staff, faculty, students, campus partners, and industry program partners year-round to ensure that the Capstone program and the Design Showcase meets all program deliverables and that Capstone students are supported during the lifecycle of their projects.

Capstone Design Program Operations
- Works in close collaboration with Director of Experiential Programs & Student Success Assessment to organize and execute day-to-day operations of the Capstone Design Program.
- Updates and maintains EduSourced project management platform to maintain user list, milestone deadlines, and project and client records.
- Assists faculty with team formation and assignments to projects in the system. Responsible for pulling reports and assisting in providing updated program data to college leadership regarding number and types of projects, partners, etc.
- Coordinates with program faculty and staff to organize and schedule monthly instructor meetings, maintain accurate documentation regarding project milestone schedule and the corresponding deliverables for each instructor.
- Works with Director of Experiential Programs and J.W. Fanning Institute for Leadership Development to schedule EELD module sessions, track and report on student module and certificate completion, and maintain EELD eLC page for students.
- Assists Director of Experiential Programs and Student Success Assessment with NDA and Intellectual Property documents and approvals.
- Collaborates with the College of Engineering's Marketing & Communications teams to develop and update content for Capstone Design partner guides, email newsletters, program marketing materials, and social media campaigns.
- Maintains updated databases of current, past, and potential project partners for project solicitation and communication.
- Coordinates with program faculty and staff to organize and implement Capstone Design Program surveys (360 Peer Evaluation, Program Evaluation Survey, etc.)

Capstone Program Student Support
- Provides support services to currently enrolled capstone students.
- Maintains regular communication with Capstone students regarding program milestones & deadlines, and address student questions as needed.
- Develops and update student resources including an annual handbook for Capstone students.
- Assists with team budget request processes, tracking approved purchases, and ensuring adequate records of team funding.
- Communicates with students regarding policies related to project material purchasing, team travel, and reimbursement processes.
- Collaborates with program faculty and staff to facilitate project bidding process. Deliver presentations and communicate with students regarding project bidding requirements and deadlines.
- Tracks capstone students enrolled in E-Mobility, Aerospace, and Engineering Entrepreneurship (new), Ecological Engineering (new) certificates and ensure they are assigned to projects that align with certificate requirements.
- Collaborates with School of Computing faculty to recruit CSCI student participation in Capstone Design. Assist with CSCI program applications, notifications, and course registration.

Capstone Design Showcase Lead
- Oversees the planning, organization, and execution of the annual Capstone Design Showcase event in partnership with Director of Experiential Programs & Student Success Assessment, and the college's Special Events Manager.
- Communicates with students regarding event details and requirements through email and class presentations.
- Follows the Capstone calendar, ensure all showcase deliverables are met throughout the year, with a particular focus in the Spring semester as the large Showcase event approaches in April.
- Serves as day-of lead for Capstone Design Showcase- this includes logistics such as transportation, technology needs, student booth space, vendor coordination, and event set up and tear down.
- Leading up to the showcase, partners with students to ensure all requested materials/supplies were delivered and received.
- Serves as the primary point of contact for students regarding the showcase event.
- Partners with Director of Experiential Programs & Student Success Assessment and the College's Special Events Manager ahead of the showcase to ensure readiness for Design Showcase.
- Collects and track team deliverables in preparation or for the showcase event.

First-Year Research Experience ( FYRE ) Program Operations
- Develops and shares program promotional materials to encourage program participation (flyers, emails, tv screens)
- Organizes and holds Information Sessions to introduce the program to first-year students, discuss program requirements, and answer questions
- Coordinates with participating engineering faculty to receive and organize research laboratory information for student-laboratory pairing.
- Creates and manage the FYRE application process.
- Coordinates with the Director of Experiential Programs & Student Success Assessment to register students for research credit courses.
- Conducst yearly end-of-program assessment with participating students and faculty and generate an Assessment Report that will be used for program continuous improvement and program promotion.
- Assists maintaining pipelines of both incoming FYRE students and future CURO students.
