Description
This is a "hybrid" role. The selected candidate will work in our Arlington, VA office (Tuesdays-Thursdays).
The coordinator supports a high-volume of needs related to speaker and faculty facing duties. These tasks include ensuring speaker and faculty contracts, bios, session information, evaluation results, and expense reports for learning, board advisory, and member engagement events hosted by NACD. This position also works closely with members of the full Education and Experience team as well as Partner Relations and Board Advisory Services.
Requirements
ESSENTIAL DUTIES AND RESPONSIBILITIES
Interacts regularly with speakers and faculty via phone and email. Answers questions, trouble shoots and supports members in their efforts to provide information for events.
Manages the speaker inbox and responds to inquiries within standard SLA expectations.
Responsible for adhering to project timelines using Monday.com event boards to track timely completion of tasks.
Updates weekly dashboard of speaker and faculty deliverables for assigned events and board advisory engagements.
Assists with speaker registration management at the annual NACD Directors Summit event.
Coordinates administrative tasks related to speaker and faculty logistics, including contracting, obtaining headshots and bios and updating the website.
Coordinates and schedules planning calls for assigned NACD events.
Keeps speakers informed throughout the event planning process, through to the conclusion of the event, and manages distribution of survey feedback and timely payment of fees.
Coordinates timely delivery of presentation materials and polling questions for session as needed.
Ensures accurate session descriptions with learning objectives are updated on the appropriate platforms.
Maintains library of materials and supporting documentation related to presentation materials.
Ensure Salesforce event creation and closure once engagements are delivered.
Alerts Senior Manager, Education Programs of issues, problems or concerns.
Performs other duties as assigned.
OTHER REQUIREMENTS
Stands/walks for long periods of time at events
Climbs, balances, stoops, kneels, crouches, or crawls as needed
Lifts between 20 and 50 pounds regularly
EDUCATION/QUALIFICATIONS
A bachelor’s degree or an equivalent combination of education and relevant experience is required. One to two years of experience in an administrative, customer-facing, or relationship management role, or in a comparable business environment. Must be a team player with a positive attitude and professional work ethic. Must possess and exhibit strong customer service skills, exemplary attention to detail, excellent communication and interpersonal skills, and ability to handle confidential information in a professional manner.
Candidate must also demonstrate the ability to work independently as a self-starter as well as part of a team and collaboratively across the organization, handling multiple activities and priorities while meeting deadlines and maintaining the utmost professionalism, organization, and attention to detail. Proficiency in Microsoft Office is required. Experience with Cvent, Sessionboard, and Salesforce a plus.

The salary/hourly range for this position is $60,000 - $65,000 plus bonus potential. Compensation is based on several factors including but not limited to education, work experience, certifications, etc.
