Description
Montana Free Press (MTFP), Montana’s leading nonprofit, digital-first newsroom, is seeking a part-time Office Manager to support the day-to-day administrative and operational functions of our Helena-based team. This role is essential to keeping our small, collaborative newsroom running smoothly and efficiently.
The position will manage a range of responsibilities across general administration, light bookkeeping, office operations, and internal coordination. Working closely with the COO and staff across the organization, the Office Manager will help ensure strong internal systems, timely financial processing and a well-functioning office environment.
Requirements
Principal Duties and Responsibilities:
- Manage core administrative functions, including shared inboxes, internal communications and staff support
- Process invoices, expense reports, payroll and assist with basic bookkeeping and reconciliation
- Support HR-related tasks including onboarding, offboarding and benefits coordination
- Maintain office operations, including supplies, vendor coordination and facilities management
- Serve as a point of contact for landlord, IT support and service providers
- Track contracts, subscriptions, and compliance-related documentation (W-9s, 1099s, insurance, etc.)
- Coordinate internal meetings and logistics, including scheduling, materials and event support
- Maintain organized records, including board materials and administrative documentation
Minimum Desired Qualifications, Skills, and Experience:
Strong organizational skills and attention to detail
Clear and professional written and verbal communication
Ability to manage multiple priorities and follow through on tasks independently
Comfort working with spreadsheets, administrative systems, and digital tools
Experience with Google Workspace required; familiarity with accounting or HR tools (QuickBooks, Bill.com, Ramp, Gusto, Airtable) is a plus
Dependable, self-motivated, and comfortable working in a small team environment
